Request documents for a component order
Tell us which documents you need and which parts they should cover. Explain why you need them, then confirm availability and any sharing restrictions before relying on them for your purchasing review.
Ask for documents that answer your questions
Start with what you need to check rather than requesting a long list of unrelated records.
| Question | Useful information |
|---|---|
| Which part is being quoted? | Complete MPN and manufacturer |
| Which units are covered? | Labels, lot details or sample identifiers where available |
| What checks were performed? | Report methods, samples and results |
| Who issued the document? | Issuer and document reference |
| What is missing? | Unavailable records or details still to clarify |
Make the request easy to understand
Include the request in your RFQ and explain any specific customer requirements.
- List the exact MPNs and relevant lot or sample details.
- Separate required documents from optional information.
- Explain what your reviewer needs to check.
- Ask which records are available and can be shared.
- Resolve important gaps before ordering.
Check that the records match the parts
Compare part numbers, lot details and sample identifiers with the proposed supply. Read a test report for the samples and checks it describes, rather than extending its results to untested units.
Ask an appropriate technical specialist to review report interpretation or device suitability when needed.
When a document is unavailable
Ask what is missing and consider whether it affects your purchasing requirements. An unrelated report or brochure is not a substitute for a record covering the proposed parts.
Report examples and order documents can only be shared where they are available and sharing is permitted.
